“Why reinvent the wheel?” is the common question that many new owner-operators ask when faced with sending out their first invoices.  With everything else you have to learn when you start out driving your own truck, invoices are just One. More. Thing.

Finding a free trucking invoice template online sounds like a good idea at 3 AM when you have a pickup across the state at 10:30 the next morning.

A Semi Serious Quiz from TruckingOffice

What’s Your Invoicing Style?

Take our quiz to discover how you wrangle your paperwork.

1. You just delivered a load. How do you create your invoice?

  • A. I photograph the BOL, rate con, fuel receipts, and anything else that might be important. Then I open my free invoice template, squint at the screen to read the numbers, and then I start typing.
  • B. I copy my last invoice, change the numbers to match the receipts from the trip envelope, and send it.  What could possibly go wrong?  Wrong broker?  Are you sure?
  • C. The minute I get the signed BOL, I upload it to TruckingOffice PRO. Back in the cab, I send the invoice packet. Paperwork’s done, and Buc-ee’s has a brisket with my name on it.

2. The broker says your invoice packet is missing paperwork. What do you do?

  • A. Check my 347 photographs. I know that signed BOL is in there somewhere. Oops, that was the one from last week.
  • B. Send the same invoice again. Maybe a different person will open it this time. 🙏🏽
  • C. Check my TruckingOffice PRO records, find the document attached to the load, and resend it in 30 seconds. Still plenty of Tuesday left.

3. It’s Friday afternoon. What’s happening with your trucking invoices?

  • A. I’m sorting photographs, matching receipts to loads, and filling out free invoice templates. I may have to cancel my Saturday barbecue plans to get these finished.
  • B. I sent my invoices. Did I get the amounts right? Did I include everything? We’ll find out when the broker calls.
  • C. My invoice packets went out when I delivered the loads.  I’m ready for barbecue!

What’s Your Trucking Paperwork Wrangler Personality?

Mostly A’s? You’re The Receipt Paparazzi

You take pictures of everything. BOLs, rate cons, receipts, and probably the waitress who brought your coffee. But your free invoice template still makes you enter the information yourself. Your camera is working harder than your invoicing system.

Mostly B’s? You’re a Glovebox Gambler

You believe in trip envelopes and luck, especially when you’re copying last week’s invoice to update this week’s data. Wrong load number? Missing detention charge? Forgotten receipt? Roll those dice! Unfortunately, your broker isn’t running a casino, and payment delays aren’t a jackpot.

Mostly C’s? Hello, Organized Outlaw!

You refuse to follow the old rules of trucking paperwork. No more retyping load information into free templates. No more spending Friday night assembling invoices. You use TruckingOffice PRO to get the paperwork done so you can get back to dinner.

Where Do Free Invoice Templates Fall Short?

It’s not that they don’t work.  They can handle the job when you take the time to prepare it right.

We see 4 problems with free invoice templates.

  1. Free templates don’t automatically connect to your trucking records.  They may not integrate with any other part of your business workflow.  As AI gets smarter, many accounting programs and spreadsheets can read or import data from a PDF rate con – an extra step in your accounting process that doesn’t seem like too much if it’s free.  But failing to integrate means more work for you.
    • Does the template pull details from your dispatch?
    • Will it automatically create a new invoice number for each document?
    • Does it maintain a customer database to reduce your input time?
    • Will your template add up your numbers for you?  (If it’s a spreadsheet, it can, sure.  But you’re the one troubleshooting at midnight when you accidentally typed over your formula.)
  2. Free templates create more paperwork.  Depending on your billing system, you may be adding several extra steps with a spreadsheet.  What system do you have to keep the approved accessorial charges, fuel surcharges, layover pay, or detention fees organized?  Each of these may be covered by the rate con – or they may not.  Different shippers, different contracts – and it’s up to you to make sure that everything you can put on an invoice is there.
    • For Gamblers, just copying an invoice seems fast, but it’s asking for trouble if Broker A will pay lumpers, but Broker B expects a pre-authorization call.  Now the copied invoice carries a charge Broker B never approved, and you’ve got a two-aspirin headache with a Red Bull chaser.
  3. Reentering information increases the risk of mistakes.  Every time you have to reenter data, the chances increase of a transposed number or misplaced decimal.  (Can you imagine billing $160.00 but putting $16000 on an invoice for a lumper fee?)
    • That doesn’t just apply to the billing amount.  Trucking invoices need your correct information, too.  Give the broker the wrong account number and your ACH payment could pay for some frat party’s wings.  You’re the one who has to track down the mistake – not the broker.
  4. Free templates don’t track your invoices.  Essentially, this document, spreadsheet, or PDF is just a file.  You need a system that will send your invoices along with the rest of your invoice packet, and then track the payments – or non-payments.
    • If your terms are net-30, it’s been a month since you sent the invoice.  It’s easy to forget about an invoice you sent a month ago without creating another system to monitor them.

Frankly, that’s reinventing the wheel.  Systems to manage your trucking business already exist.

When Free Doesn’t Mean Free

The reason that some companies offer “free trucking invoices” is because they’re come-ons to get you to buy into an accounting software system for your business.

In October 2026, none of the first page of Google search results when we looked for “trucking invoice template” was for software dedicated to a trucking business.

NONE.

All those ads were for accounting software designed with accountants in mind, not truckers.  The search results were for general accounting software packages – not trucking-specific programs.

Get past the hype, and you’ll see that what these companies offer isn’t what the independent owner-operator trucker needs.

What Do Free Trucking Invoice Templates Actually Cost?

A company may advertise on Google that they offer a “free trucking invoice template” and let you fill out all the details – but they don’t let you send it without getting your VISA card number first.

That’s because they’re not free. Maybe – just maybe – the first one or two are free, but then you may have to create an account and pay monthly for the service.  One “free trucking invoice” program is actually a trial of their service.  Once the trial period is over, you have to select a paid tier based on the number of invoices you create per month – from $6.99 for 3 invoices up to $21.99 for unlimited.  Another lets you create “unlimited invoices” and says it’s free to start, no card required to sign up but when you want to send an invoice, they want a credit card number.  But they won’t charge it?  (We’re not sure how that works, but we’re quoting their website.)

Don’t get suckered into those so-called “free” invoice templates. Find out what you’re getting before you hand over your credit card.

Pro Tip from TruckingOffice

What Are You Actually Saving?

A free trucking invoice template might save you the price of software, but it won’t save you from entering the same information repeatedly.  Your time is worth money – don’t spend it doing the same thing over and over. TruckingOffice PRO manages your trucking business.  It reuses the load data – and your company data – to prepare an invoice tailored for your customers.

Pro Tip from TruckingOffice

Don’t Confuse Fake Free with Free Trial

Don’t confuse a free trial – like the 30-day free trial that TruckingOffice offers – with a “free trucking invoice template” that you’ll find online.  TruckingOffice PRO trucking management software is far more than a free invoice generator.  While you are able to create and send invoices during your 30-day trial, you’ll find there’s a lot more to TMS than dispatch and load management and invoice creation.  TruckingOffice PRO won’t ask for your credit card, debit card, or Papa John’s account number to get you started.

TruckingOffice PRO helps you create invoices from existing load information, organize supporting documents, and get your invoices out faster.  After that, it helps you track maintenance, create reports to show your business status, and make sure you have a buck in your pocket for the Tooth Fairy to deliver to your kid.  Ok, it won’t do the last one.  But it will help you build a successful trucking company and avoid the pitfalls of expensive “free” offers.

Stop paying for “free” invoices with your time. Try TruckingOffice PRO free for 30 days.
